How to Create Hubspot Workflows Based on Oribi Events

With Oribi’s Hubspot integration, you can include any event (or group of events) on your website at any point in your Hubspot workflows. Since Oribi automatically tracks all the actions visitors take on your site, this integration means you can start triggering new workflows whenever you want—based on any action you want. Here are a few example use cases:

If someone visits your pricing page and clicks on a particular plan, automatically have an email sent from the appropriate sales representative and update that visitor’s lead score.
If a VIP customer is inactive for a certain period of time, trigger a workflow that will send them an offer and increase their motivation to return.
Build highly personalized nurture campaigns based on your visitors’ on-site journeys. Send them links to relevant blog posts, according to the route they take across your site.

Let’s go through how to create a sample workflow together, from start to finish. By the end of this tutorial, you’ll know how to start using your own Oribi events in Hubspot workflows.

Decide which event you’d like to use as a workflow trigger, and export it from Oribi to Hubspot.

You’ll want to choose a meaningful event, one after which it makes sense to automate a specific action. Which event you choose depends on the goal of your workflow.

For example, suppose you want to create a highly personalized workflow that will send automated emails from your sales reps to leads who expressed interest in a particular service by clicking on related brochures. This event—the clicks on those brochures—will be your trigger. It’s what will enroll contacts in your Hubspot workflow.

To use this event as a workflow trigger, you first need to make sure you’re exporting it to Hubspot. In your Oribi account, click Manage Events > Manage Exported Events. Look for the desired trigger event in the list.
If the event you want to use is already being exported to Hubspot, move on to Step 2. If not, read how to export events to Hubspot here.
Create a new Hubspot workflow.

In your Hubspot account, click Workflows > Create workflow. For our example, we’ll choose Contact-based (meaning we’ll create a workflow that enrolls and is triggered by contacts) and Start from scratch. Give your workflow a name, then click Next.
Set an Oribi event as the workflow trigger.

To set the event that will trigger your workflow, click Set enrollment triggers. Scroll to the bottom of the list of filter types and click Oribi: Oribi Event > Event Name.

For a stricter filter, select is equal to any of, then enter the name of your Oribi event in the text box. For a more flexible filter, use contains any of.
Click Apply filter > Save.
Set the action that will occur when your workflow is triggered.

Click + below the trigger you just set, and you’ll see a list of actions. What you choose from this list is entirely up to you, but for our example, we’ll choose Send email as we want our workflow to send a relevant email to users who clicked on certain brochures.
You will then be able to create the email you’d like sent in this workflow, as well as set the sender, subscription type, etc.

Continue adding as many actions to the workflow as you like. You can also use other Oribi events between workflow steps (for example, in an if/then branch). For a detailed tutorial on building Hubspot workflows, check out this article.

When you’re done building your workflow, click Review in the right hand corner. Choose whether you want existing contacts to enroll in your workflow or if you’d like it to begin with new contacts. Once everything looks correct, hit Turn on.
